R Hotel & Resorts Management Co., Ltd. (hereinafter referred to as “the Company”) establishes this Privacy Policy (hereinafter referred to as “this Policy”) to outline the handling of users’ personal information in the services provided on this website (hereinafter referred to as “the Services”).

“Personal Information” refers to “personal information” as defined under Japan’s Personal Information Protection Act. It includes information about a living individual that can identify a specific person, such as name, date of birth, address, telephone number, contact details, and other descriptions, as well as biometric data such as facial images, fingerprints, or voiceprints, and identifiers like health insurance card numbers.

The Company may request personal information, such as name, date of birth, address, telephone number, email address, bank account number, credit card number, or driver’s license number, when users register for the Services.
Additionally, the Company may collect transaction records and payment information, including personal information, between users and affiliates (such as information providers, advertisers, and ad distributors, hereinafter referred to as “Affiliates”).
Article 3 (Purpose of Collecting and Using Personal Information)
The Company collects and uses personal information for the following purposes:
1. To provide and operate the Services.
2. To respond to user inquiries, including identity verification.
3. To send notifications regarding new features, updates, campaigns, and other services provided by the Company.
4. To contact users regarding maintenance, important notices, or other necessary communication.
5. To identify users who violate the terms of use or attempt to use the Services for fraudulent purposes and to restrict their access.
6. To enable users to view, modify, or delete their registration information and usage history.
7. To charge users for paid services.
8. To fulfill purposes incidental to the above.

The Company may change the purpose of use of personal information only when the new purpose is reasonably related to the original purpose.
In such cases, the Company will notify users or publicly announce the new purpose through appropriate methods.
Article 5 (Sharing of Personal Information with Third Parties)
The Company will not share personal information with third parties without prior user consent, except as permitted by Japan’s Personal Information Protection Act and other applicable laws. Exceptions include:
1. When it is necessary to protect a person’s life, body, or property, and obtaining consent is difficult.
2. When it is particularly necessary to improve public health or promote sound child development, and obtaining consent is difficult.
3. When cooperating with national or local government agencies, and obtaining consent could interfere with the execution of legal duties.
4. When the following conditions are met and the Company reports to Japan’s Personal Information Protection Commission:
• Inclusion of third-party sharing in the purpose of use.
• Items of data shared with third parties.
• Methods or means of sharing.
• User rights to request suspension of third-party sharing.
The following cases are not considered third-party sharing:
1. When the Company outsources handling of personal information within the scope necessary for the purpose of use.
2. When personal information is provided due to business succession through mergers or other means.
3. When personal information is jointly used with specific parties, provided users are notified in advance or this information is made easily accessible to them.
Article 6 (Disclosure of Personal Information)
Upon user request, the Company will disclose personal information without delay. However, disclosure may be partially or fully denied if it falls under any of the following:
1. When disclosure may harm the life, body, property, or other rights of the user or a third party.
2. When disclosure may significantly hinder the Company’s business operations.
3. When disclosure violates applicable laws.
A fee of 1,000 Japanese yen per request will be charged for personal information disclosure. Non-personal information such as usage history or statistical data will not be disclosed in principle.
Article 7 (Correction and Deletion of Personal Information)
Users may request correction, addition, or deletion (hereinafter referred to as “Corrections”) of their personal information if it is incorrect.
If the Company deems such a request necessary, it will promptly make the Corrections and notify the user of the outcome.
Article 8 (Suspension of Use of Personal Information)
If a user requests suspension or deletion of personal information due to misuse or handling beyond the intended scope, the Company will conduct necessary investigations and respond promptly.
If such actions are difficult due to cost or other reasons, and alternative measures can adequately protect user rights, the Company will implement such measures.
Article 9 (Changes to the Privacy Policy)
This Policy may be updated without prior notice, except as otherwise required by law.
Revised versions of this Policy will take effect upon publication on this website unless otherwise specified.
